Apartment Extraction from Occupant Mailing Lists:

There is one other important piece of information that is quite valuable for certain situations that may benefit you in knowing. In the industry we call it "apartment extraction".

Due to the fact that apartment buildings, whether they are residential apartment buildings or business office buildings, technically, the USPS sometimes considers the entire building as one address. Let's take Domain College Park for example, (a beautiful place to live, by the way) the building address is 3711 Campus Drive, College Park, MD 20740, yet each apartments address is the same but with an apartment number appended to the address.

This same situation is true for many business office buildings as well. A standard Occupant Mailing List will strip out what it considers as duplicates and include only a few (1-5) addresses at best of all the actual addresses in the building. What if you want to mail to everyone the entire building? Depending on how the building management is set up, we have either one or two options.

Apartment Extraction:
  • We can go into the Occupant data of the mailing list and manually extract every unit number that is in the file. There is an extra cost to do this because it does require additional work, but sometimes the extra value gained can make it quite worth it.
  • One more important point to mention is that there are some buildings where the mail is handled by the management of the building and not the U.S. Postal Service (USPS). What this means is that the Postal Carrier does not actually deliver the mail to each individual mailbox of the apartment or office building. Instead, the Postal Carrier drops off the mail at the front desk (or wherever it is designated between the USPS and the building management. Then someone from the building management takes the mail from there and distributes the mail internally to the building residents. If you really want to deliver mail to each unit in a building such as this, we even have a way to get around this obstacle in many instances. However, we cannot guarantee the deliverability since what the management actually does is out of our or the USPS control.
